Lead Response

How to Automate Lead Follow-Up for Your Local Business

By HaloAI CRM TeamMarch 18, 20267 min read

The average local business takes 47 hours to respond to an online lead. In a market where the first response usually wins the job, that's an enormous amount of revenue walking to competitors who reply faster.

This guide covers a complete automated follow-up system — from the first 90 seconds after a lead comes in to the 7-day sequence for leads who don't immediately convert.

The math: If you close leads at 30% and your average job is $800, responding to 5 more leads per week that previously went unanswered = $1,200 additional revenue per week = $62,400 per year. That's the cost of slow follow-up for a single mid-size service business.

The 4-stage automated follow-up sequence

1

Stage 1: Instant response (within 90 seconds)

The first message is the most important. It needs to arrive before the lead moves on to the next Google result. The goal of Stage 1 is simple: acknowledge the lead and ask one qualifying question.

"Hi [Name] — thanks for reaching out to [Business]! What type of work do you need done, and roughly where are you located?"

This message does three things: it confirms you're paying attention, it starts qualifying, and it keeps the conversation going. Most leads respond within 10 minutes if you reply within 90 seconds. Wait 2 hours and the response rate drops below 20%.

2

Stage 2: Qualification & booking (minutes 2–10)

Once the lead responds, guide them through 2–3 qualifying questions and then directly to a booking:

The AI handles this entire conversation, then sends a booking link or confirms the appointment directly. No human involvement until there's an appointment on the calendar.

3

Stage 3: No-response follow-up (24, 48, and 72 hours)

For leads who go silent after the first message, run a 3-message follow-up sequence:

24 hours: "Hey [Name], just following up to see if you still need help with [service]. Happy to get you a quick estimate — what's a good time?"
48 hours: "Still available and would love to help with your [service] project — let me know if you'd like to set something up this week."
72 hours: "Last check-in! If you've already found someone, no worries. If not, we typically have availability this week: [booking link]"

This sequence adds 25–40% more conversions on top of the leads who respond immediately. Most businesses don't follow up at all — which means a 3-message sequence already puts you ahead of the competition.

4

Stage 4: Long-term reactivation (30 and 90 days)

Leads who never converted go into a long-term nurture list. At 30 days and 90 days, send a light check-in:

30 days: "Hi [Name] — this is [Business]. Checking in to see if you ever got your [service] sorted. We have openings this month if you still need help."

Approximately 8–12% of "dead" leads convert from this 30-day message alone. People get busy. Life happens. The job still needs to get done eventually — and you're still there when they're ready.

What you need to run this system
